Regular work environment

Can we share knowledge within our regular work environment, i.e. without the use of complex software?

An organisation regularly is provided with new content from external parties, e.g. independent consultants and groups of volunteers, and also produces its own content.

Can people who contribute knowledge in the shape of articles, reports and other material make this knowledge searchable from their regular work environment (e.g. MS Office or OpenOffice) without the need for special software or training?
